Part Time Curatorial Records Assistant

Position Overview:

The Curatorial Records Assistant supports the Curatorial Department of the Key West Art & Historical Society by maintaining and organizing digital and physical records related to the museum’s collections.  This part-time position focuses on accurate data entry, file management, and assisting in the ongoing digitization and documentation of KWAHS collections and exhibitions..

Core Duties & Responsibilities:
  • Enter, update, and verify collection records in the museum’s database system CatalogIt.
  • Organize, file, and maintain both digital and physical curatorial records, including object files, accession forms, condition reports, and loan documentation.
  • Assist in digitizing archival materials and cataloging images and documents.
  • Ensure consistency and accuracy of metadata, numbering systems, and file naming conventions.
  • Support the Curatorial team with data clean-up projects and collection documentation initiatives.
  • Retrieve and refile materials as needed for research, exhibitions, and departmental projects.
  • Maintain confidentiality and handle sensitive collection information responsibly.
  • Perform other administrative and clerical duties as assigned.
Qualifications & Requirements:

Required:

  • Strong attention to detail and accuracy in data entry.
  • Excellent organizational skills and ability to manage multiple tasks.
  • Familiarity with databases, spreadsheets, and digital file management systems.
  • Proficiency with Microsoft Office Suite (Excel, Word) and basic image handling.
  • Ability to work independently and as part of a small team.
  • Interest in art, history, museums, or archives.

Preferred:

  • Experience with museum collection management software (e.g., PastPerfect, CatalogIt, or similar).
  • Background or coursework in museum studies, history, art history, library science, or related field.
  • Experience handling archival materials or museum records.
Schedule & Compensation:
  • Status: Part-time (approximately 20 hours per week) and onsite (no hybrid)
  • Schedule: Flexible within museum administrative operating hours.
  • Compensation: $25/hour

The Key West Art & Historical Society is hiring Maintenance Staff!

Maintenance staff are responsible for the security, cleanliness, general maintenance and appearance of the Society’s four facilities and their grounds. This includes the Key West Museum of Art & History, Lighthouse & Keeper’s Quarters Museum, Fort East Martello and Tennessee Williams Museum. Responsibilities include ensuring all systems (i.e. mechanical, plumbing, electrical, etc.) are in proper working order, minor landscaping, repairs, event support, exhibition changeover, and ground keeping.

Core Duties and Responsibilities

  • Performs maintenance checks for all systems; coordinate repairs with vendors as needed
  • Maintain museum grounds to ensure they are presentable to guests
  • Maintains cleanliness of gallery spaces, offices, and public areas
  • Monitor buildings and grounds to identify and resolve issues
  • Ensures all restrooms are clean and adequately stocked
  • Keeps maintenance areas clean and well-organized
  • Works with Curator during exhibition installation
  • Assist with event setup and breakdown assuring
  • Assist with storm preparedness and cleanup

  • Satisfactory written and verbal communication skills

Minimum Education Requirement Qualifications

  • High school diploma (or equivalent) or comparable work experience
  • Must be able to carry and lift heavy objects (50 lbs), stand and walk for extended periods of time
  • Must be able to satisfactorily complete a background check
Position Type Schedule:

Full-time, hourly with benefits
40 hours per week; evening and weekend hours as needed for programs and events
